Big business systems are known for rollouts that run for months, often with a consultant billing by the hour. The Pulse setup wizard is six screens. After that, a guided wizard brings in your books, customers and products, and checks every opening balance to the cent before it saves a thing.
Every screen on this page is the real wizard, filled in with a fictional company.
The installer is six screens. After you sign in, a checklist walks you through the rest at your own pace. Your progress is saved, so you can stop mid-way and pick it up tomorrow.
QuickBooks Desktop comes across whole. Other accounting systems start from a trial balance. Customers, products and staff come in from CSV or Excel. How the books move →
It’s built for an owner or office manager, not a consultant. Want it done for you instead? That’s our onboarding service →
Choose a start date, enter your bank balances and what’s still owed, and Pulse proves it balances. See the fresh start →
Run the installer on your own server or a spare PC (Windows or Linux), then open the setup wizard in your browser.
Welcome, your company details, your product key, your books, your admin login, and a review. The key tells Pulse which modules you bought, so the rest of the wizard only asks about what you own.
After you sign in, the wizard carries on, one chapter at a time. Each one offers the same three choices, so nobody is forced through a step they don’t need.
Skipped chapters stop counting against you and can be brought back any time. The checklist lives under Settings → Onboarding, and every import can be run again safely.

This is the step people worry about, so Pulse doesn’t take its own word for it. It rehearses the opening entry on your real ledger, rolls it back, and shows you the proof: the entry balances, your open invoices match Accounts Receivable, and your unpaid bills match Accounts Payable. If a figure is off by a cent, you see the difference instead of a checkmark, and the books won’t open until it’s fixed.
Pick the day your Pulse books start. Enter what each bank and card account held the night before, anything else on the books, checks that hadn’t cleared, and what customers still owe you and you still owe. A new customer or vendor name on an invoice creates the record for you.
Pulse puts the difference in Opening Balance Equity, tells you so in plain English, and your accountant reclassifies it later. That’s the normal way to open a set of books.
Upload a CSV or Excel export from your old CRM, or any customer list. Pulse matches the columns, and you check every one before anything imports. Companies already in Pulse, such as the customers your books just brought across, are recognised and skipped, so you never get two of the same record.
The wizard builds your first deal and its quote from the customers and products you just brought in. Then it shows you the quote exactly as it goes out: your company details, your numbering, your terms. Seeing it is how you know setup worked.
Upload your employee list, set up departments and managers, and choose who gets a sign-in. Lists exported from Gusto, ADP, Paychex, Square and QuickBooks are recognised automatically.
You don’t need a trainer or a week of classes. The training is part of the product.
The last chapter creates a sample customer and takes it from deal to quote to job ticket to invoice, on the same screens your team will use. Every record is marked as test data. Nothing is posted to your ledger: the invoice stays a draft, and Pulse checks that the entry it would post balances. Keep the sample to practise on, or wipe it in one click.
The Help button opens short guided tours that point at the real screen as you go: a look around Pulse, creating a contact, creating a deal, and adding an employee, a place or an asset. Each new person is offered the one-minute tour the first time they sign in; an admin can turn that off.
You only see the tours for the modules you own and the permissions you have.
Pulse ships with a complete fictional business, with customers, quotes, work orders, invoices and a full set of books. Switch it on and your team can click through every part of the platform without touching your own records. Switch it off and your workspace is exactly as you left it.

The wizard is built so you don’t need us. But if you’d rather hand it off, or you want the AI employee, our done-for-you onboarding takes one business at a time and hands you a running system in three days.
Your product key, a computer to install on, and your data. From QuickBooks Desktop, that’s the exporter’s file. From anything else, it’s a trial balance, open invoices, unpaid bills, and customer and product lists as CSV or Excel. Starting fresh? Your last bank statements.
Nothing is written to your books until the proof screen passes and you confirm it. Spreadsheet imports in the wizard can be undone. Every setting chosen in the wizard can be changed later in Settings.
No. Pulse runs on your own server, and the license activates offline in the setup wizard. There’s no license server and no account to create with us.
No. The installer, the wizard, the imports and the tours all work without AI. The AI employee is an optional add-on we set up through our onboarding service.
